Full Digital Audit Trails: How Our In-House Software Closes Down Every Compliance Item
Scaffold compliance failures rarely announce themselves in advance. They surface during an HSE inspection, following a near-miss, or when a housebuilder's procurement team requests documentation that simply does not exist. For scaffolding subcontractors still relying on paper-based systems, the gap between what should be recorded and what can actually be produced is significant — and the legal exposure falls on everyone in the supply chain.
Why a Complete Audit Trail Matters
Under the Work at Height Regulations 2005, scaffold structures must be inspected before first use, after any event likely to affect their stability, and at intervals not exceeding seven days. Each inspection must be recorded and that record made available to the person in control of the site. The regulation is clear. What is less straightforward is demonstrating, weeks or months later, that every inspection was completed on time, by a competent person, and formally closed down. Paper systems struggle here. Documents get mislaid, partially completed forms are filed inconsistently, and when a query arises, reconstruction from memory is not a reliable defence.
What We Track and How We Close It Down
Our appointed H&S consultants at Bolt On Safety Services have helped us develop a compliance approach that leaves no item open. Using our in-house software, every compliance action across a site is tracked from initiation to full close-down. This covers handover certificates, seven-day scaffold inspections, RAMS, weekly harness inspections and toolbox talks. Nothing is marked complete until it is complete. Certificates and inspection records are generated digitally and delivered to site management in real time, meaning your site manager or H&S lead receives the documentation as it is produced — not days later, and not on request.
The Housebuilder Advantage
For procurement managers and contracts managers appointing scaffolding subcontractors, this matters beyond compliance. It means your own audit position is protected. If an HSE inspector visits a new-build housing site and requests scaffolding records, those records are retrievable, timestamped, and complete. Our accreditations — SMAS, CHAS, SSIP, Scaffold Association membership, and CISRS-carded operatives throughout — support the framework. The digital trail is what backs it up in practice.
